Privacy policy
Who we are
Replyline is operated by the operator of Replyline. Contact: hello@replyline.co.uk.
Two different roles
For information about the businesses that use Replyline and the people who work there, we are the controller: this policy explains what we do with it. For the enquiries, contacts and messages a business keeps in Replyline (information about its customers), that business is the controller and we are its processor, acting only on its instructions under our data processing agreement. If you contacted a business that uses Replyline, please ask that business about your data; we will help it answer.
What we collect about our users, and why
- Account details (name, email, password stored only as a one-way hash): to provide the service — contract.
- Billing details, handled by our payment processor; we never see full card numbers: contract and legal obligations (tax records).
- Security and usage logs (sign-ins, IP address, actions taken in the account): to keep accounts secure and the service working — legitimate interests.
- Support conversations: to help you — contract / legitimate interests.
We don't sell personal data, don't use it for advertising, and don't let our AI provider train models on it.
The early-access list
If you join our early-access list we keep your email address and anything else you choose to tell us (name, trade, area, how many calls you miss), plus where you found us. We use it only to tell you when Replyline opens and send occasional launch updates, on the basis of the consent you gave, which we record with the wording you agreed to. Every email has an unsubscribe link. We delete the list 12 months after launch, or sooner if you ask.
Who we share it with
Only the service providers listed on our sub-processors page, under contracts that require them to protect it, and authorities where the law requires.
Where it is stored
Our servers and database are in the European Economic Area (Frankfurt), which the UK recognises as providing adequate protection. Where a provider processes data elsewhere (for example in the United States), we rely on the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
Account data while your account is open and for up to 90 days after it closes (so it can be restored or exported), then deleted. Billing records for six years, as UK tax law requires. Security logs while your account is open, deleted with it.
Your rights
You can ask to access, correct, delete, restrict or port your data, and object to processing based on legitimate interests. Write to hello@replyline.co.uk; we reply within one month. You can also complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).
Cookies
We set one strictly necessary cookie to keep you signed in. We use no analytics or advertising cookies, so we don't ask for cookie consent. If that changes, we'll ask first.
Changes
We'll tell account owners by email before any change that affects how we use their data.
